1.  Have an Effective Office Moving Plan

If you’re a business owner, it’s important to plan for the move before anything else. Ideally start planning around 6 months in advance so that all of your needs can be met and accounted for when moving day arrives.  We recommend planning this way with all types of commercial removals.

Start by drawing floor plans and taking stock of all the equipment and furniture that will need to be moved into/out of each office space so they can fit properly in relation with one another (think desks versus tables). Ask yourself these questions: Where do I want things placed? What systems are most crucial for the new workplace. What pieces should stay (furniture)? If you are downscaling some items might have to be disposed of.

The planning stage is also important with regard to your employees. You need to have the layout perfectly set out at this stage. A lack of natural light and air can lead to a decrease in employee performance. A closed cubicle or stuffy working environment isolates employees, decreasing morale over time as they become less engaged with their jobs due to the isolation from others around them that are not also being isolated by these conditions.

2. Evaluate the New Office Space

Before moving into your new office it’s important to have a walkthrough and inspection.

You need to check that everything is fitted correctly, working properly and that there are no issues with the wiring or anything else.

This is imperative to do before signing the lease, as you will be legally responsible for anything that goes wrong with the property!

Always make sure you have an inspection first, because it could save you a lot of money and time in future.

3.  Office Removals Checklist

In order to have the best office removal experience, you will need a checklist. This is where preparation comes in handy!

A list of steps and tasks can be compiled before moving day so that everything goes as planned without any hiccups or headaches along the way.

These steps can include changeover dates, which items need to be moved first, labeling boxes etc. Label items in advance with room names, postcodes and floor numbers to aid the movers.

4. Assign Tasks to Eligible Staff Members

Moving day is chaotic, so you want to make sure that the most important tasks are assigned to your highest-ranking employees.

Paperwork and inventory should be handled by someone who knows what they’re doing!

It’s also a good idea to use this opportunity to get rid of some of the company’s older files and paperwork.

5. Sort and Archive Paperwork

This is another aspect that needs to be organised. Paperwork can take up a lot of space, so it’s important to sort through old files and decide what should be kept and what doesn’t need to be moved.

If an item isn’t absolutely necessary for the move it’s best to donate or discard these items in order to create more storage.

6. Get Organised With Portable Storage Crates

Portable storage crates are an excellent way of keeping organized during the office move. This will make your life so much easier when it comes to moving in the future, especially if you’re in and out of storage crates regularly!

They can be used in any room or to store anything at all – it’s up to you how you use them.

7. Label Each Box

Make sure that every single box is labelled clearly before you store it. This will ensure that they can be easily identified and picked up when moving day comes around!

Using brightly colored labels is always a good idea, but you could even use stickers if you need to.

8. Identify Specialist IT Equipment

IT equipment can be a headache to deal with and might need special attention. If you’re moving computers, printers and other technical items then ensure that the team knows how to handle these sensitive pieces of equipment.

You don’t want them damaged or lost along the way, especially after taking into account how much they cost!

9. Have a Professional Office Removal Team Ready

The people you hire are an important part of your office removal process. You need to have a team that can handle all aspects of the move, from staff management to working alongside your company’s staff throughout this transition. Moving day is generally hectic and stressful for everyone involved, so having a great team can help ease that stress and ensure that all your needs are met.

Employing a professional local moving company will ensure that the big day goes as planned. They are experienced in this area and know exactly what is required to make it go smoothly, so you can focus on other areas of your business. Not only do they move boxes and equipment with ease, but they also take care of staff management and administration tasks like changeover dates. This will save you time and hassle while ensuring that everything is done without any problems or complications arising.

10. Get Your Team Members Involved in the Office Removal Process

It’s important to get your employees involved in the office removal process. They will be impacted by the move because they are the ones who work here!

You don’t want them excluded from this process, whether it’s a good or a bad thing. This is a great opportunity for you to talk about what might happen on moving day and how to be prepared for it.

11. Get the Right Insurance Before Moving Office

It’s important to have the right insurance in place before moving day arrives. Accidents can happen, so you need to have cover if an employee is injured or some of your company’s belongings are lost or damaged during the process!

There are several insurance policies that can cover this sort of thing, so you need to do a bit of research and find the best one for your business.

12. Update Your Address on All Online Accounts

In order to make sure that communication is possible after the move, you must update your address wherever necessary.

This includes social media accounts, online retailers and more. If you don’t do this before the move then you could lose touch with customers or struggle to keep in contact after the big day!

13. Pack Office Supplies Last

This may sound like common sense but it’s important to pack office supplies last.

You want to make sure that all your equipment is in place before moving on to smaller items like staplers and more! This includes bulkier items like files, so they can be packed away easily if required.

14. Have a Changeover Day

Although this may not be possible for everyone, it’s advisable to have a changeover day after the move.

This will give your employees time to settle into their new surroundings before you get straight back to work! It can also help prevent any potential loss of productivity.

Although there are several preparations you need to make for this day to be successful, it’s well worth the effort.
